Q: Will TCWS work with our existing accounting software system?
A: Yes, TCWS has been designed to work with almost all accounting
systems, including bespoke accounting solutions. It simply picks up the data
from your accounting system and modifies it for MICR laser cheque printing.
Q: Is it easy to install TCWS?
A: Yes, The TCWS installation wizard guides you through the
installation process in less than 15 minutes. Entering your specific settings
(such as Printer Setup) may take up to 15 minutes.
Q: Will cheques be assigned the cheque number from my accounting system?
A: Yes, TCWS will pick up the cheque number from the interface file
produced by your accounting system and print this on the cheque. Your cheque
reconciliation process should therefore be a lot more efficient. ChequeScribe
32 can also be set to apply a sequential rolling cheque number with the
starting cheque number user definable.
Q: What consumables are required?
A: There are two consumables that are required on an ongoing basis:
-
Blank cheque paper with the inherent security features built-in
-
MICR toner cartridge for the TROY laser printer.
Both of these consumables are available direct from ChequeWrite.
Q: Why a MICR toner cartridge?
A: This is required so that the MICR line at the bottom of the cheque can be
read by the proof machines which process the cheque through the banking system.
MICR is an acronym for Magnetic Ink Character Recognition, which means that the
MICR line containing the cheque details possesses sufficient magnetic ink
content to be read by proof machines.
Q: How secure is the blank cheque stock?
A: Our blank cheque paper contains state of the art security and includes
security features such as:
-
CBS1 Tie Watermarked Paper
-
Hologram
-
Advanced Security Invisible Ultra Violet Ink
-
Aqua Security Ink
-
Check digits
-
Audit Number
-
Remittance Protect
Q: Can we have our own blank security paper, unique to our organisation?
A: Yes, you can have your own company logo incorporated in the hologram,
corporate logos in colour etc. We can provide quotes for unique blank cheque
stock designed specific for your organisation.
Q: Is the software user definable for cheque, remittance advice and report
layouts?
A: Yes, these can all be totally configured to suit the client's specific
requirements.
Q: Are the signatures really secure?
A: Yes, signatures are created using an encrypted process that allows only
authorised ChequeScribe users to print them. For added security, specially
programmed magnetic signature cards may be used to transmit authorisation for
signature printing through a card reader attached to the PC.
Q: What special hardware requirements are needed to run the software?
A: You will require an APACS Approved TROY laser cheque printer for printing
the cheques.
Q: Can you export data from the system?
A: Yes, a variety of export functions are automatically available within the
system for example, Excel, Lotus, Word, Rich Text Format, Comma-Separated
Values, Character-Separated-Values, Crystal Reports, etc.
Q: What reports are available from the system?
A: There are is a wide range of reports available from the system that can be
printed, previewed before printing or exported if desired. An audit report is
available prior to printing any batch of cheques. Archive reports can be run
using several selection criteria for example, by cheque, bank account, payee,
vendor ID, operator, reprinted cheques, manual cheques, daily cheques and a
summary. Each one of these reports is definable by date with the selection of a
'from...to...' date range feature.
Q: Is the system difficult to operate?
A: No, the system is intuitively designed and easy to use. Detailed operating
manuals are provided with the system and there is an on screen help function.
Q: What happens to my overflow pages?
A: The Overflow pages can either be sent to a different printer tray with
normal A4 paper or a different printer entirely, networked or stand-alone. So
there is no cheque paper wasted on overflows.
Q: Can I add or change bank accounts myself?
A: Yes, it only takes a minute for authorised staff to add new companies and
accounts. Simply enter new information, including bank account numbers, into
the ChequeScribe configuration screen.
Q: Will I save money and time when using TCWS?
A: Yes, Savings will vary depending on the number of cheques printed and the
number of different bank accounts you use. You will experience savings in time
and money in the areas of: reduced cheque paper inventory, set-up time, run
times and in the signing & bursting of cheques.
